If you're running influencer campaigns for your Shopify brand and trying to keep track of replies manually, you're probably losing time and missing follow-ups. I’ve been there. I run influencer outreach for several Shopify stores, and I used to manage responses one by one in Gmail. It's messy. So I found a better way: use Gmail labels and Google Sheets together.

In this guide, I’ll show you how I use a simple Gmail label and a Google Apps Script to track influencer replies in a Google Sheet automatically. It works every day, without me touching it.

Why Tracking Influencer Replies Matters

If you're doing influencer outreach at any scale, you're probably sending 50, 100, or even 500 emails a week. That’s a lot of potential replies.

When you miss a reply or forget to follow up, it can hurt your campaign. It’s easy to lose track of:

  • Who replied

  • What they said

  • Whether you sent them a sample

  • If they posted or not

That’s why you need a system to log replies clearly and keep everything in one place.

The Problem With Manual Tracking

Here’s how I used to do it:

  1. Send outreach emails in batches.

  2. Flag responses manually in Gmail.

  3. Copy-paste info into a spreadsheet.

  4. Try to remember who I followed up with.

After a few weeks, it turned into a mess. Emails got buried. I’d forget to log a response. Some influencers got double messages. Others never got a follow-up.

I needed something faster. I wanted a simple way to:

  • Tag outgoing emails

  • Automatically catch replies

  • Log those replies into a spreadsheet

  • Sort them by date

  • See the latest reply at a glance

That’s when I built my Gmail to Google Sheets automation.

The Setup: Gmail + Google Sheets + Apps Script

You don’t need Zapier. You don’t need a third-party CRM. You just need Gmail, Google Sheets, and a simple script.

Here’s the setup I use:

1. Label Your Outreach Emails

In Gmail, create a label called influencer-outreach.

When sending outreach messages, apply that label to each email thread. This helps your script know which conversations to watch for replies.

2. Create a Google Sheet

Open Google Sheets and create a new spreadsheet. Add the following headers:

  • Email

  • Date of Last Reply

  • Subject

  • Snippet

You can add more columns if you want, but these are the basics.

3. Write the Apps Script

Go to Extensions > Apps Script in your Sheet. Paste in this code:

4. Set Up a Daily Trigger

In the Apps Script editor, click the clock icon to open Triggers.

Set the function logInfluencerReplies to run once per day.

Now your Sheet will update daily with the latest replies.

How to Use the Sheet for Follow-Ups

Every day, I check the Sheet. If I see a new reply, I:

  1. Review the message in Gmail.

  2. Write notes in the Sheet.

  3. Update their status: sample sent, posted, ghosted, etc.

  4. Plan follow-ups directly from the Sheet.

You can filter by date to see who replied in the past 24–48 hours. It saves a lot of inbox digging.

Mini Case Study: DTC Apparel Brand

Client: DTC Apparel Shopify Brand
Challenge: Hundreds of outreach emails sent to influencers. Tracking who responded was chaotic.
Solution: Added Gmail label “influencer-outreach” to outbound campaigns. The script logged replies daily into Google Sheets, sorted by date, with reply summaries.
Result: Reduced follow-up errors by 80% and improved campaign coordination.

We were able to identify influencers who needed nudges, follow up with key ones, and close more deals.

Extra Features You Can Add

Once the basics are working, you can customize the script further:

  • Add a column for reply status: "Yes," "No," "Maybe"

  • Use email regex to extract influencer handles

  • Create filters to ignore auto-replies

  • Add Slack notifications for new replies

This setup gives you a foundation. You can build on it depending on your team and goals.

I’ve tried tools like BuzzStream, Upfluence, and others. They’re great if you run massive campaigns. But for most Shopify brands, they’re overkill.

This Google Sheets + Gmail setup has:

  • No monthly fee

  • Full control

  • Instant updates

  • Low friction

You don’t need to onboard your whole team to a new platform. Just share the Sheet.

Final Thoughts

Tracking influencer replies doesn’t have to be a headache. If you already use Gmail and Google Sheets, you can set up this system in 20–30 minutes.

Once it’s running, you’ll save hours every week. You’ll avoid dropped balls. And your campaigns will run smoother.
